CleverStaff 2023 results: new opportunities for recruiters

Let’s summarize the results of 2023! Despite another year of challenging work, the CleverStaff team has released many updates. We are making a top selection of new features of the system that are guaranteed to improve the recruiter’s work.

Email templates and new auto-actions

The first major update of CleverStaff 2023 is email templates and the ability to set up automatic sending of emails and tests to stages in Vacancies.

A new section Email Templates has been added to the Settings, which contains personal and general templates.

These templates can be used when sending regular emails to candidates, as well as emails when transferring candidates to stages such as Interview and Offer. CleverStaff also offers the ability to set up an automatic email or test to be sent at any stage of the vacancy process. This significantly saves time on a daily basis, allowing you to quickly overcome the routine.

The Administrator and the Recruiters he or she has authorized can work with email templates, delete and edit auto-actions. Learn more here.

Dashboard with key indicators

If you open the Monitoring tab in the Organizer section, you can see an informative dashboard with a calculation of key performance indicators.

The dashboard displays the current status of tasks: the current number of vacancies in the Open and In-Progress statuses, the average time for filling them, and the number of scheduled interviews for all account users.

At the bottom of the page, you can apply a time filter and a filter by vacancies.

Our developers are planning to develop the dashboard further, and new additional metrics will be added over time. You can read more about it here.


The GDPR (General Data Protection Regulation) is a data protection regulation that applies to EU legislation within the EU and the European Economic Area.

CleverStaff has already had the ability to send a request to a candidate for the use of their personal data, but in 2023, the developers significantly expanded it. For this purpose, a separate place was created in the settings section, where all GDPR-related options are located.

Now the user can enable or disable the auto-sending of a GDPR request when adding a candidate to the database, set reminders if a response to the request is not received from the candidate, display a list of these candidates, set reminders about the expiration of the permission, etc.

Kanban board: new features

CleverStaff developers have added a new type of displaying candidates for Vacancies – in the form of a kanban board.

Now candidates are displayed not as a table, but as cards. They contain all the important information about the candidate: full name, photo, position, grades, etc. Candidate cards can be moved through the stages by holding down the cursor on the card and “moving” it to the desired stage.

A green box indicates candidates in your area of responsibility.

All of this will make it much easier to work with information in the hiring process and allow you to more conveniently manage candidates at different stages.

Polish interface

In the middle of the year, in response to our partners’ wishes, we implemented a Polish interface specifically for CleverStaff clients in Poland. We hope that the mother tongue will make it much easier for Polish recruiters to work in the system.

Updated vacancy report

In 2023, we updated the vacancy report to include a bar chart of stages and the average time candidates spent at each stage.

The peculiarity of this bar chart is that it displays only those candidates who have actually been transferred to the stage. That is, if a user has transferred candidates by “jumping” through several stages, these candidates will not be displayed in the histogram, unlike the funnel in the same report.

This will make it much easier to analyze the conversion and the vacancy funnel in one report.

Integration with BambooHR

CleverStaff has implemented integration with BambooHR. Now you can transfer hired candidates to the integrated BambooHR account automatically or manually by clicking the appropriate button on the candidate’s profile.

The Administrator can connect the BambooHR account in the Integrations section. We wrote about how to do this, as well as other useful features of this release here.

New type of authorization – SAML

Until December 2023, CleverStaff had 3 types of authorization – standard login/password, Facebook or Google account.

Especially for large corporate clients with special requirements for security and access management, we added the 4th type – SAML (Security Assertion Markup Language).

SAML is an authentication standard that allows users to access multiple services from a single account by entering login credentials only once.

Put simply, the user will use a single corporate account rather than some separate data (login and password) to log in to CleverStaff. On the one hand, this is very convenient for teamwork, and on the other hand, it is secure and controlled. Learn more about SAML here.
